When John and Nancy move into town with their six children and begin looking for a church to meet their spiritual needs, how do they find you? Perhaps they look in the yellow pages of the phone book or look up the name of your church in the phone book because someone told them about your church. They make that initial call to find out more information about your church and they get an unanswered phone.
The first call can make or break a future relationship with that family! If they do not get the information they need, they will naturally look elsewhere. Although most of us despise answering machines, at least in this case it might be better than nothing.
The best case scenario for this situation would be someone answering the phone 24 hours a day, but that usually is not possible. Providing in that case the receptionists are well versed in proper phone etiquette, a breakdown here could also break a future relationship with that new family.
One great alternative to this scenario that many churches and ministries on, would be an economical small business phone system which has the capability to offer messages upon initiation of the call. At this time, when the call is automatically answered, you can play positive aspects of your church and peak their interest during this initial greeting. They can then choose an option to be transferred to whatever extension they need to go too. What works great here, is to set up an extension which gives directions to the church and the times of services.
A good church phone system should be easily customizable anywhere and anytime through the internet. You should be able to reroute office calls for however many extensions you have to home phones or cell phones for complete coverage. You should also still be able to set the call to where it can be sent to voice-mail, should anyone not be able to answer the call.
Imagine how that first time caller would be impressed if someone from your staff answered their call even late into the evening. Not even knowing that the staff had answered the call in the luxury of their own home, or while they were driving down the road or shopping. A good church phone system can let you and your staff have a life, while ministering to the needs of the community.
The imperative result, is for the first time caller to feel like you care and can meet their needs. An unanswered phone does not meet their need!
