Business Phone Systems – How to Let VoIP Service Pay For Your New Telephone System

There’s a way out for you if you’re a business manager with thoughts of upgrading your system but fear that with the lagging economy you may not be able to pay for new equipment.

What if there was a way for you to reduce monthly costs enough to pay for most-or even all-of a new phone system?

Well, believe it or not, there is. It’s called VoIP hosted service.

By now, most business managers-even those who have not used this service-have heard about it. What most of them have heard is that it is much less costly than traditional PSTN (plain old telephone service), but what they typically haven’t heard is: a) how much they can reduce telephone costs, b) how to order and use this service, and c) what factors they will need to know in order to use this new technology.

If this applies to you, here are 8 important factors you will need to know about VoIP Hosted Service:

  1. Line Hunting -When using VoIP service for receiving inbound calls, you will often want to choose a telephone line that can be included in a Line Hunt Group, then configure it so that when the line being called is busy and receives an inbound call, this call will be forwarded to the next free line in its hunt group. Not all VoIP Hosted Services offer this capability. So, you’ll need to know who offers it and who doesn’t.
  2. Maintaining Voice Quality – Broadband service with heavy uploading can use up enough bandwidth that VoIP QoS (Quality Of Service) is degraded. To avoid this, your bandwidth should be tested and VoIP service ordered and installed in quantities that will not overuse bandwidth. Other measures such as an inexpensive QoS regulator can be used to maintain VoIP voice quality when heavy uploading is a factor.
  3. Market Expansion – Communication with customers in remote locations can not only reduce long distance calling costs for your company and your customers but can improve customer service by providing local telephone numbers which customers can dial to easily and quickly use to reach your company.
  4. Inbound/Outbound Call Usage Requirements – In choosing an Internet (VoIP) telephone service provider and the right program for you company you will be able to greatly reduce telecom service costs by matching prospective services and their individual programs against your company’s anticipated telecom service usage. If you company makes fewer calls, for example, there are VoIP hosted services you can use with rates as low as $9.95 per month, compared with $40 or $50 per month fees you might spend for calling minutes you will never use.
  5. Competitive Service Provider Costs - Per-Month service rates are only one of the many factors in comparing VoIP service costs. You may also want to compare charges for service activation, service cancellation, delivery and freight, routers and adapters, and options such as DID and Auto Attendant, and Voice Mail.
  6. Calling Area Factors – If your business is one that originates international calls you may choose internet service providers whose rates allow you to make calls without charge to these overseas destinations. Other providers who don’t offer free international calling, do offer special low rates.
  7. DID Service – Direct Inward Dialing, which allows inbound calls to ring directly at individual personnel, is offered by some VoIP service companies. These calls can often be received even if personnel are located in remote areas, providing Internet access is available to the person receiving these calls.
  8. Remote Communications – Features such as Call Transfer, Call Forwarding, Voice Mail Sharing, Direct Inward Dialing, Conferencing, etc., can be provided by certain business VoIP services, allowing you communication without cost for operations such as branches, warehouses, etc.

So, let’s say you’re sold on VoIP and are ready to give it a try. How much can you expect to save and how much of your new system will your savings pay for?

If your new phone system has ten phones and Voice Mail, you will probably pay about $3,500 for it, including installation. Translating that into monthly figures, a monthly payment on a 36-month lease-purchase will be somewhere in the neighborhood of $121.80. If having VoIP service will eliminate long distance costs of $100 per month, and if you can save $25 per month by replacing one PSTN line with VoIP, then you will have paid for all your new system costs.

There are other related factors you will want to know, but if you begin with just these eight factors above, you will be well on your way to letting VoIP buy you a new phone system.
