What Can a Hosted Virtual PBX Offer My Small Business?

Traditional PBXes have a limiting quality that is an inherent factor of the device. These can only service one location, and employees must be in that location to use it (make phone calls, check voicemail, etc.). In comparison, hosted virtual PBXes break that limitation and transform the way work can be done. Workers no longer need to be stuck to a specific location when using a hosted PBX; in fact, they can be virtually anywhere.

An interesting and worthwhile question to pose (especially when deciding whether to switch to a hosted PBX provider) is, “how can the differences between the two affect a business and its operation?”

Imagine a small sales and support team working for ABC Company. Their normal daily activities include answering sales calls, following up with leads, addressing support issues and resolving them, etc. These workers spend a major part of their day on the phone fielding customer questions; consequently, whether a traditional or a hosted PBX is used will significantly affect how their workday is spent.

Answering phone calls and checking voicemails is accomplished by using their desk phones, entering passwords when necessary. However, they are stuck at their desks. If they are away from their desk phones, they cannot take calls. In order to review voicemail, they also need to be using these phones. These team members are very restricted, and can only work while they are at the office.

The sales and support team comes to work, where each has their own desk and IP phone. Their company is using a hosted virtual PBX provider for their phone service. There is no closet housing a bulky PBX-the provider takes care of that. The phones are connected to a router, and the router is connected via high-speed connections to the Internet. Using a hosted PBX provider, the team is suddenly granted much more flexibility. They can certainly answer calls while using their desk phones, but now they have the ability to download softphones on their laptops, and synch them to their company’s hosted PBX account via a web interface. Armed with softphones on their laptops, sales team members can now travel to potential new clients and tradeshows, increasing their company’s sales rate and visibility, while also still being able to address customer issues just like they were at their desk.

Hosted virtual PBXes also provide services like Voicemail to email. This service allows any voicemail received on an employee’s IP phone to be forwarded to an email account of his/her preference. Now, when an employee has voicemail, he/she does not have to be at the office to review them. With this forwarding capability, the employee can check voicemail from any computer that has email access, and can respond to them even when they are away from their desk traveling.
