Most people say that in this age of internet advancement, telephones are gadgets of the past and maybe obliterated in the future. Though the use of the internet, anything is possible. One may receive mails, call through internet voice capability and even prepare, transact and consummate business. However, telephone obliteration will not happen because this is still the fastest and most convenient way to do business.
Telephone systems of a business will vary depending on the number of persons who should have it, or maybe depending on whether the nature of the business requires many telephone lines for it to be effective. As such, one must know the extent of the use and how beneficial it is to one’s business.
Before purchasing anything, one must know first the basic terminologies in order for him to really understand the true nature of business telephone systems. Here are some words and definitions that may guide you.
1. Lines. It means the lines of the telephone coming into you business. For example, you have two telephone lines which mean you have two different numbers accessed either through different handsets or one handset with several ports. The other name for lines is trunks.
2. Ports. This refers to the number of connection that a phone system can operate. This may include lines and extensions.
3. Extensions. This is usually an extended part of the incoming lines that enables one to transfer a call from one phone to another. However, when used in business, the extension may be utilized as an internal communication, modems, or fax machines.
4. Cabinet. This is where all the lines, ports and extensions run and configured for smooth use inside the office or business. This is sometimes called the main box, central office, CO, central unit or base. This is also used for internal and external routing, key telephone systems or private bank exchange (PBX).
Now that you know the terminologies involved, one must now evaluate the number of persons who will use the telephone in order to arrive at the proper business telephone system to use. If your business is just starting, it is absurd to spend so much money on telephone systems. That is why it is advised to use the key systems. Key systems are also called small business telephone systems because it caters only to small businesses that have at most forty employees.
However, if your business is big, then it is recommended that you use the PBX or the private bank exchange. This phone system supports more than forty employees. Unlike key system, PBX system offers more features, extensive customization and uncomplicated upgrades. However, PBX system is more expensive than key system; that is why it is recommended only for those who have large businesses.
Aside from the PBX or the key system, one may also consider the VOIP or the voice over internet protocol. This will enable the business to receive and send telephone calls through the internet connection. VOIP may be used alone or may coexist with either PBX or key systems.
